Sharing Settings & App Access With Other Accounts

How to share account access and booth settings with a friend or colleague.

In certain circumstances you may need to share your booth settings and/or your account's license with somebody else.


When You Should Share

There are a few ways sharing can make running your event or activation more convenient or secure.

  • Keep your organization's billing under one account (and take advantage of our volume discounts) by purchasing all licenses under one account and then distributing them to separate accounts dedicated to each team, region, etc.

  • If the person at the event or venue is not familiar with the software, sharing your preset without edit access will allow them to launch the event but they won't be able to accidentally make a change to the settings.

  • If you run a high volume of events, sharing presets to unique accounts can help the person who is setting up avoid using the wrong preset by accident. Another way to avoid this is to archive old event settings.

  • Share your settings with your graphic designer or other teammates for collaboration.

  • There are plenty of other reasons why sharing may be convenient for you or your team depending on how you're using our software!


License Sharing

A license is necessary in order to launch an event with the HALO app.

Granting Access

  1. Confirm the person you are sharing with has an account. If not, they'll need to sign up and verify an account before you can move forward.

  2. Visit your licenses page.

  3. Check the box next to the license you want to share.

  4. Choose "Assign" for the action.

  5. Enter the recipient's email address.

  6. Press Go. The license will be active immediately for the new account's use.

Revoking Access

When you are ready to bring your license back to your own account, follow these steps.

  1. Visit your licenses page.

  2. Check the box next to the license you are taking back

  3. Choose "Unassign" for the action

  4. Press Go. The license will be back on your account and can be used immediately.


Settings Sharing

You may also want to share a preset & gallery with another account. You'll be able to choose whether or not the recipient has access to make edits to the settings.

Sharing Presets

  1. Visit your preset page and open the specific preset you want to share.

  2. Click the share button in the top right corner.

  3. Enter the recipient's email address, then click "share."

  4. Once the recipient has been added to your preset, you can choose whether to grant them edit access.

Sharing Galleries

The gallery that you originally linked with your preset will remain paired, and uploads taken on the recipient's account will hit the online gallery on your account.

If you have granted the recipient edit access, they can access the online gallery and it's settings from their online dashboard. If you have not granted edit access, the gallery and it's settings will not be visible from their account.

Tips

  • Do not grant edit access to people unfamiliar with Simple Booth's settings, like your client or a booth attendant.

  • When granting edit access, we recommend sharing any graphics you have added to the settings with the recipient. If they accidentally remove any of the assets from the settings (either intentionally or by accident) this will allow them to add it back.

Revoking Access

  1. Visit your preset page and open the specific preset you want to revoke access for.

  2. Click the "share" button in the top right corner.

  3. Use the red "x" button to remove the account(s) from the shared users list.

  4. Click "done."
